Quote Workflow

Follow the tabs in the header from left to right to complete a quote.

Install Workflow

Track the job from the point of sale through to installation and commissioning completion and handover of the system manual:

  • The Install Dashboard gives an overview view of all approved jobs and their install stages. More info here: /wiki/spaces/SPHC/pages/1350140241

  • Risk Manager provides a risk assessment checklist for solar installations and, where required, batteries, including arc flash calculations.

  • Install information including line diagram, cable data, panel layout, bill of materials, site-specific notes, and documents

  • Commission checklist for solar and system specified battery installations, provision to upload additional documents, and generation of system manual for handover

 

Installer Job Acceptance

Installers can be required to accept and mark a job as ‘Accepted’ in the Install page. You can enable this feature in Business Settings.

This acceptance has two options:

  1. Accept the job as is.

  2. Accept the job with modifications.

Accepting and modifying a quote

When an installer is given the ‘Contractor’ access AND you require jobs to be accepted by the installer, use the following workflow:

  1. A quote is prepared and approved by a customer with the Installer selected with the Install job role

  2. The Installer is sent the Install Job Pack. This invites the installer to the job via a link to the job in SolarPlus

  3. The Installer logs in and reviews the quote.

  4. The installer may do a site inspection in which they may identify additional work or some condition which demands a variation to the design.

  5. The installer then has the option to accept the job as is or they may select the option ‘Accept with modifications’.

A modified quote is created

Modified Quotes

This means that the original quote (accepted by a customer) is left and a new duplicate quote is created with the status ‘Modified’.

The install can now edit the modified quote in a few ways:

  1. On the install page, the installer can select items from your inventory to request them to be added to the quote.

  2. On the Design page, the installer can change the panel layout, add or remove panels from the system, add or remove other components from the system

  3. On the Site Survey page, set cable lengths which will affect the system performance.

 

Finalising Modified Quotes

The Modified quote can then be reviewed by the Customer Rep who will have received an in-app notification to advise them of this.

The rep can then send it to the customer for approval. When a Modified quote is accepted, the original quote is automatically marked Rejected.

 

Quote Sidebar for quick-view and Handoff

Within any quote or install workflow you can view contact information, duplicate any quote for this contact or handoff the quote/job.

The handoff function allows you to pass off to another team member, a particular quote or contact for them to follow up in their particular job role.

 

Handoff of a quote/install job

While working on any quote you will find the contact details always visible by clicking on the briefcase icon in the top left of the page header.

  1. Open the quote side-bar

  2. Click ‘Handoff’ to switch to the handoff panel

  3. Select the team member you wish to notify and assign a job role

  4. Select the job role you wish to set the user to (note that you may not retain visibility of this quote if the user replaces you as for example, the Customer Rep.

  5. Choose whether you wish to assign only the current quote/job (default) or ‘All quotes for this contact’

  6. Add any notes to brief the user on any aspects of the quote/sale/job you wish to highlight

  7. Click Notify
